Professional VAs switch tone based on the situation — this is what makes clients feel understood, respected and confident in their VA. FORMAL When to use: • First contact with a new client • Discussing contract terms or pricing • Responding to a complaint • Writing on behalf of a senior executive • Sending invoices or legal documents Sample phrases: "Dear [Full Name]," "I am writing to confirm..." "Please find attached..." "I would appreciate your response at your earliest convenience." "Yours sincerely / Best regards," FRIENDLY When to use: • Regular day-to-day updates • Client you have worked with for 2+ weeks • Casual check-ins and quick questions • Sending weekly reports • Thanking a client for feedback Sample phrases: "Hi [First Name]," "Hope you are having a great week!" "Just a quick update on..." "Let me know if you need anything else." "Best / Talk soon / Cheers," FIRM When to use: • Client is not paying on time • Scope creep is happening • Client is being disrespectful • Clarifying a boundary that was crossed • Ending a difficult client relationship Sample phrases: "Hi [Name]," "I want to address something important..." "As per our agreement dated [date]..." "I need this resolved by [specific date]." "Looking forward to your response," The Facilitators Academy • Lecture 13: Client Communication Mastery • thefacilitators.net • +92 304 5224838 Response Time Rules — The VA Standard That Clients Expect Your response time directly determines your client retention rate Research from Upwork shows that VAs with under 1-hour response time have 4x higher client retention than those who respond next day. Speed is a quality signal. Within 1 hour For any message from an active client during your working hours. Even if you cannot fully answer yet — acknowledge receipt: 'Got this — will get back to you by [time].' Within 4 hours For non-urgent questions or requests that require research. Send a quick acknowledgement first, then the full response when ready. Within 24 hours For complex tasks, proposals or anything requiring significant thought. Set this expectation upfront — clients who know to expect 24 hours are not frustrated by it. Never ignore Every message deserves a response — even if just to say 'I will get back to you'. Silence is the fastest way to lose a client's trust permanently. These disputes are almost always avoidable with one clear conversation at the start. 1 Working Hours: Example: 'I am available Monday–Friday, 9AM–6PM Pakistan Standard Time (UTC+5). Messages received outside these hours will be answered the next working day.' 2 Response Time: Example: 'I respond to all messages within 2 hours during working hours. For urgent matters, please mark your message as URGENT and I will
