Task 1
25+ proposals sent this week
Show your bid tracker. What was your response rate? Any conversations started? What was the best proposal you
sent — read the opening line aloud.
Task 2
Daily routine followed for 5 days
Show bid tracker daily entries for 5 consecutive days. What was the hardest habit to maintain? What made it easier
when you did it?
Task 3
Retainer conversion script written
Read your script aloud. Is it natural or does it sound salesy? Class votes: would you respond to this if you were the
client?
Task 4
Retainer offer sent — Bonus
What happened? What did the client say? If they said yes — share! If not — what objection did they raise?

Scaling Beyond Solo — When and How to Hire Your First
Sub-VA
The moment your income allows it — hiring changes everything about your income ceiling
Solo freelancing ceiling: ~PKR 80,000–120,000/month (limited by your hours). With 1 sub-VA: PKR 150,000–250,000/month. With 3
sub-VAs: PKR 400,000–700,000/month. The model changes — you become the business owner.
When to hire You are consistently turning down work due to capacity. You are working more than 8 hours/day. Your monthly income has been above PKR
80,000 for 2+ consecutive months. You have identified specific tasks you could delegate without quality loss.
What to delegate first Start with the most repetitive, lowest-skill tasks: data entry, post scheduling, basic content reformatting, customer message responses
(templated), invoice sending, research tasks.
Where to find sub-VAs Same platforms you use! Freelancer.com, Upwork — post a job. Pakistani Facebook freelancing groups — post what you need. Your own
course alumni — The Facilitators Academy graduates are ideal sub-VAs. First preference: people you can meet.
How to pay sub-VAs Start at PKR 300–600/hour depending on task complexity. Or a monthly rate for defined scope. Always: define work precisely, set clear
deadlines, require daily check-ins, use Toggl for time tracking.
Quality control You remain accountable to the client. Review all sub-VA work before delivering. Build a quality checklist for each task type.
Over-communication is better than under-communication when starting a sub-VA relationship.

Building Systems — How to Work Less While Earning More
A system replaces you in any repeatable task — the goal is to remove yourself from the process
A freelancer who works in their business earns a salary. A freelancer who builds systems earns a business. Every task you do more than 3
times should be documented and potentially delegated.
SOPs (Standard Operating Procedures)
For every repeatable task: write a step-by-step document. 'How to schedule posts in
Meta Business Suite', 'How to upload a Daraz listing', 'How to write a weekly VA report'.
Tool: Google Docs — create a folder called 'SOPs'. One doc per process. Share with
sub-VAs as training material.
Benefit: Any new team member can execute the task without you explaining it each time.
You scale without constant supervision.
Client Onboarding Template
Every new client gets the same onboarding experience: contract sent → payment
received → brand kit questionnaire → Trello board created → welcome message sent
→ Week 1 plan shared.
Build this once in Google Docs/Trello. Apply to every client. Takes 30 minutes per new
client instead of 3 hours of back-and-forth.
Content Calendar Template
Pre-built monthly calendar in Google Sheets: dates pre-filled, content pillar column, post
idea column, caption column, image status, scheduled date.
Duplicate for each new month. Each client gets a copy of this template with their
branding. Reduces content planning time by 70%.
Email/Message Templates
Saved responses for: project delivery, revision requests, payment reminders, review
requests, retainer offers, scope creep responses.
Store in: Gmail canned responses + Google Docs template library + WhatsApp quick
replies.
Benefit: Professional, consistent co
